The Paperless Classroom. TACON 14 - paperless classroom. Chapter 8: Document Management. In this chapter: What Is a Document? What Is Document Management? The Document Life Cycle Should SharePoint Replace File Servers? Other Best Practices Concerning Documents and Document Libraries Working with the SharePoint Server 2007 DoD 5015.2 Add-On Pack Summary Additional Resources One of the core functions that Microsoft Office SharePoint Server 2007 is purchased to implement is document and records management. Because of the increase in complexity of the platform from Microsoft Office SharePoint Portal Server 2003 to SharePoint Server 2007, design and planning issues are also more complex. Document collaboration differs from document management in that it allows individuals to asynchronously develop a single document from a single location into a finished product without much concern about what happens to that document within a defined document life cycle.

But first, we need to understand what a document is and what document management is. Next > © Microsoft. Document Management Basics | DocFinity - Optical Image Technology. What is Document Management? Document management, often referred to as Document Management Systems (DMS), is the use of a computer system and software to store, manage and track electronic documents and electronic images of paper based information captured through the use of a document scanner. What is Document Management (DMS)? Document management, often referred to as Document Management Systems (DMS), is the use of a computer system and software to store, manage and track electronic documents and electronic images of paper based information captured through the use of a document scanner.

The term document is defined as "recorded information or an object which can be treated as a unit". DM systems allow documents to be modified and managed but typically lack the records retention and disposition functionality for managing records. Key DM features are: Check In / Check Out and Locking Version Control Roll back Audit Trail Annotation and Stamps Summarization. Other Best Practices Concerning Documents and Document Libraries. Regardless of where the document is hosted, several document library best practices are worth mentioning.

First, we do not find that a pervasive use of folders in a document library is either helpful or desirable. While an occasional use of folders might help categorize documents, folders are really just a way to apply metadata to a document without having to create a column in the library. Their usability is generally not thought to be helpful in the document library interface. Having said this, for performance reasons, we favor the use of folders over filtered views because folders are twice as fast at bringing up a list of documents as opposed to filtered views of a larger list. Second, all other things being equal, we would recommend that larger lists be broken down into multiple document libraries. In many instances, large lists of documents can be divided into logical groupings that can be placed in individual document libraries. © Microsoft. Evaluating Best Practices for Electronic Document Management | DocFinity - Optical Image Technology. People who are worth their salt work hard to do things right the first time.

Yet when it comes to electronic document management (EDM), trying to uncover best practices that will lead to success can be like chasing a moving target with your eyes shut. It’s challenging to find consensus, since customer needs and vendor solutions vary. Yet a measuring stick is vital if you want to ensure your vendor (and project) achieve expected outcomes. This article gives an overview of best practices, including practical considerations for purchasing and implementing EDM. Defining Paperless 2.0. “I’ve gone paperless!” The transition to the 1:1 classroom regularly goes hand in hand with a call for teachers to go paperless. The idea is a popular one for schools (and businesses) who can realize quick savings from reduced paper costs and offset the cost of the new devices.

It can also be popular with teachers for a variety of conveniences when distributing and collecting materials. But what about learning? Is moving to paperless a step forward or a high tech way of doing exactly what we have always done albeit electronically? Defining Paperless 1.0 In the initial stages of a 1:1, teachers begin to convert already existing materials into electronic copies. Clear Steps Forward Even within this simple replication, there are clear advantages to Paperless 1.0. Defining Paperless 2.0 Yet, in order for educational technology to transcend its past patterns, paperless work will need to expand beyond the confines of an 8 ½ x11 mindset not just the 8 ½ x 11 page. Turning the iPad into a Dynamic Hub in the Language Classroom. By Colin Keaveney Colin Keaveney is assistant professor of French (Teaching), University of Southern California. Recently, I decided to use iPad functionalities to enhance preparations for and activities within the sixth-semester French conversation class I teach at the University of Southern California (USC).

My goals were two-fold: First, I wanted to make the learning environment more dynamic and exciting for students (and me). Second, I wanted to move students toward the advanced level on the American Council on the Teaching of Foreign Languages (ACTFL) rating scale. Students take the French Pronunciation and Conversation (French 310) course after at least four semesters of French language. Many students coming into this class are still at ACTFL's intermediate level, and few have spent any significant time in a French-speaking country. Problem Context Goals To push students from the ACTFL's intermediate to advanced stage, I had to help them move from Challenges Solution Implementation. The Paperless Classroom.

Potentially interesting topic… but while it may seem obvious, I believe we need to be clear about defining what a "paperless classroom" really is first, especially in the context of realizing it here in the Gulf region. I've put together the following short list of possible online resources that might help answer the question. Keaveney, C. (2014, January 29).
