iPad Workflow: Zotero + Zotfile + ZotPad

As I mentioned in a comment on Annette’s post, I’m a big fan of Zotero for managing citations and PDFs on my laptop. For me, the fact that it does most of its work in the browser and automates downloading, moving, and renaming PDFs is more than enough to overcome some of its shortcomings. Also, it’s totally free, actively developed, and has a solid online user community. The one big drawback to Zotero is how it handles PDFs once it downloads them.

By default it moves them to a storage folder buried deep in your hard drive, and while it’s possible to move that folder into your Dropbox, it still retains Zotero’s convention of nesting your files within randomly named folders, like “3B329KFK.” The advantages to this are many, but one of the biggest is that you can now sync this folder directly with any iPad annotation app that can connect with Dropbox. Going "all-in" with Zotero, Zotfile, & Zotpad (step-by-step) Inspired by some recent posts and frankly, more than a little frustrated with some of the limitations I found in Mendeley, I finally went "all-in" for Zotero.

Of course making this decision is only ever the first step. Next, I needed to set-up all my tools properly to ensure that the set-up worked for the workflow I intended. I started looking around and really couldn't find any step-by-step tutorials for setting up all three tools (at least not all in one place).

Instead, details for setting up all three were often spread across many websites. So hope this step-by-step helps. Ruminating... In the previous post I was describing the free Zotero scientific manuscript management software.

Through a comment via this blog and others, I was pointed out that there are some solutions for access to your PDFs on the go. 1) ZotPad is a 9.99$ (Canadian app store) application that give you access to your collections. You can navigate, search, sort, read, e-mail, get files in and out to annotation software (iAnnotate, GoodReader and others) and sync them back afterward. ZotPad works with the Zotero server and DropBox. The downside is that you need also to buy a PDF annotation software on your mobile device. 2) The other option, free(!) ProfHacker. So, I’m going to make a concerted effort here to blog a series on my personal and professional information management workflow. I say “worlkflow” instead of “system”, because no single tool meets my needs. It’s also an evolving workflow, because my toolbox and my process changes as new/better apps come out, or as new features and functioanlity are made available in current apps. And (sadly), it’s still a bit of a manul workflow, because these apps don’t always sync together in an automated process. Jess In Ohio. At my university, you can apply for funding for student positions that help students gain working experience that they can take into the real world.

The past two years, I’ve been fortunate enough to receive funding for a Social Media Content Developer position and have had two great student employees. It helps that we have a fabulous Journalism school and many students who are fluent in the use of social medi and eager to gain experience. This year, the student is working on developing a Pinterest presence for the library, something I’d certainly not have time to explore on my own, and hopefully soon she’ll be working on posts for our Library News Blog. Working with a student – any student – has its logistical challenges though.
